Step by step
Before pickup or delivery
Confirm the exact inventory, quantities, included accessories, renter instructions, address or pickup location, contact person, access restrictions, and timing. Inspect and photograph the condition.
Mark the order ready operationally
Use the PartyShare order status or internal workflow available to you. Do not leave fulfillment readiness only in your head.
At handoff
Verify the renter/order, quantity, included pieces, and visible condition. Record the handoff time and any acknowledgement PartyShare supports.
During the rental
Keep material renter communication in PartyShare Messages whenever practical.
At return
Record the return time, recount items, inspect condition, photograph exceptions, identify missing accessories, and note cleaning issues.
Close or escalate
When everything is complete, close the order using the available workflow. If there is a material issue, preserve evidence and use the proper support/claim process.

Good approach
The vendor arrives with the exact quantity, accessories, and documented condition, verifies the handoff, then repeats the count and inspection at return.
Avoid
The vendor loads from memory, does not count accessories, does not photograph condition, and notices missing pieces days after the return.
